Terms of service

The agreement between your business and Just Sanity Limited for using CleanItAll.

These terms are the agreement between you and Just Sanity Limited, registered in England and Wales, company number 11870564, trading as CleanItAll ("we", "us"). They cover the CleanItAll app at app.cleanitall.io, its customer portal, its API and webhooks, and this website. By creating an account or using the service you accept them on behalf of yourself and the business you represent.

CleanItAll is a tool for businesses: window cleaners, other cleaning businesses and the people who work for them. It is not offered to consumers, and you confirm you are using it in the course of a business. Your customers can use the customer portal you offer them; their relationship is with you, and these terms are between you and us. Our privacy notice explains how we handle personal data and forms part of these terms.

Your account

  • Give us accurate details when you sign up, and keep them up to date.
  • Keep your sign-in details to yourself. Each person who uses the service needs their own login; sharing one is not allowed. You are responsible for what happens under the logins on your account, including those of team members you invite.
  • If your plan includes the API, keep your API keys secret. Calls made with your keys are treated as made by you.
  • Tell us straight away at support@cleanitall.io if you think someone has used your account without permission.

Plans and payment

The Free plan costs nothing, for as long as you use it, within the limits shown in our pricing. No card is needed.

Paid plans are billed in advance, monthly or yearly, through Stripe, at the prices shown in our pricing, plus VAT. Extra users and add-ons are billed in the same way. You can cancel at any time from your account. A monthly or yearly plan you cancel carries on until the end of the period you have paid for, then moves to the Free plan and is not renewed. We do not refund the rest of a period, except where the law requires it.

Deleting your account ends any paid plan straight away, with no refund for the rest of its period. Your data is kept for 30 days in case you change your mind, then deleted (see our privacy notice).

We may change our prices. We will tell you at least 30 days before a change affects a plan you are on, and you can cancel before it takes effect.

If a payment fails we will try again and let you know. If it still cannot be collected we may pause paid features until it is.

Your customers and their payments

Your customers, your prices and your round are yours. You decide what you charge and what you send, and you are responsible for your dealings with your customers, including your obligations to them under consumer protection law.

When your customers pay by card or Direct Debit, the money goes to your own Stripe or GoCardless account, under your agreement with that provider and at its prices. We do not hold your money and we are not a party to those payments. Cash and bank transfers you record in CleanItAll are your own records; we do not check them.

Texts and emails to your customers

Texts and WhatsApp messages go through your own Twilio account, under Twilio's terms and at Twilio's prices. Emails go through your own mail server if you set one up, and otherwise through ours.

You are responsible for having the right to contact the people you message. In particular, marketing emails and texts need the recipient's consent under the Privacy and Electronic Communications Regulations, and anyone who asks you to stop must be taken off.

VAT and your books

CleanItAll can work out a VAT return from your invoices and expenses and submit it to HMRC under Making Tax Digital, and it can send your invoices and payments to Xero, QuickBooks or Sage. Your tax and your books remain your responsibility. Check each return before you submit it: once HMRC has accepted it, any correction goes through HMRC, not through CleanItAll. We are not tax advisers or accountants, and nothing in the app is tax advice.

Working offline

Changes you make with no signal are kept on your device until it reconnects and syncs. If the device is lost, broken or cleared before then, those changes can be lost. We can only keep what reaches our servers.

Your data

What you put into CleanItAll stays yours. You give us permission to store and process it only to run the service for you, as the privacy notice describes. You confirm you have the right to give us that information. While your account is open, and if you ask, we will give you a copy of your data. How long we keep things after you close your account is set out in the privacy notice.

Processing your customers' details

Where we process your customers' personal data for you, you are the controller and we are your processor. This section is the contract between us that UK data protection law requires for that.

  • What, why and for how long. We store, organise and send your customer records so that you can schedule work, invoice and get paid, for as long as your account is open and then until they are deleted as the privacy notice sets out. The records are your customers' and their contacts' names, contact details, addresses, notes about their property, job history, photos, quotes, invoices, payments and messages.
  • Your instructions. We process the data only on your documented instructions, which are these terms and the way you use the app, unless the law requires otherwise. If it does, we will tell you first unless the law forbids that.
  • Confidentiality and security. Anyone we allow to access the data is bound to keep it confidential, and we protect it with appropriate technical and organisational measures.
  • Sub-processors. You authorise the providers listed in the privacy notice. We will tell you before adding or replacing one, so that you can object, and we will hold each to data protection obligations equivalent to these.
  • Helping you. We will help you answer your customers' requests to exercise their rights, and help with security, breach notifications and impact assessments where they concern our service.
  • Breaches. We will tell you without undue delay after becoming aware of a personal data breach affecting your customers' data.
  • At the end. When you close your account we will delete the data, or return it if you ask before then, unless the law requires us to keep it.
  • Showing it. We will give you the information you need to show that these obligations are met, and allow for and contribute to reasonable audits.

Acceptable use

You must not:

  • use CleanItAll for anything unlawful, including sending messages to people who have not agreed to receive them;
  • scrape, bulk-download or systematically extract data from the service except your own, through the exports and API it provides;
  • try to get around limits, security or access controls, test the service's security without our written permission, or reverse engineer it except where the law allows;
  • use the API or webhooks in a way that puts an unreasonable load on the service;
  • upload anything harmful, such as malware, or content you have no right to use.

The service itself

We work to keep CleanItAll available and correct, but we cannot promise it will be uninterrupted or free of errors. We may carry out maintenance, and we improve the product continually, which means features can change. Features we describe as beta are early and may change or be withdrawn. If we remove a feature that is central to a plan you pay for, we will tell you in advance.

Connected services such as Stripe, GoCardless, Twilio, Xero, QuickBooks, Sage and HMRC are run by other companies. We do not control them, and when one of them changes or is unavailable, the feature that depends on it may stop working until it is back.

CleanItAll, its software, designs and content belong to us or our licensors. Your plan gives you the right to use the service while it lasts; it does not transfer ownership of anything.

Our liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.

Subject to that, we are not liable for loss of profit, revenue, business, goodwill or anticipated savings, or for any indirect or consequential loss. This includes losses arising from a payment provider's or HMRC's decision, from a message that was not delivered, or from relying on a figure you did not check.

Our total liability to you in any 12-month period is limited to the amount you paid us for the service in that period, or £100 if that is greater.

Ending or suspending your account

You can close your account at any time. We may suspend or close an account if payment is not made, or if these terms are seriously or repeatedly broken; unless the matter is urgent, we will tell you first and give you a chance to put it right. If we close the service altogether, we will give you at least 60 days' notice and time to take a copy of your data.

Changes to these terms

We may update these terms. For changes that affect you materially, we will tell you by email or in the app at least 30 days before they take effect. If you keep using CleanItAll after that, the new terms apply; if you do not accept them, you can cancel before they do.

General

  • These terms, the privacy notice and any order you place with us are the whole agreement between us about the service.
  • Nobody other than you and us has any right to enforce these terms.
  • You may not transfer your account without our agreement. We may transfer our rights and obligations to another business that takes over CleanItAll, and will tell you if we do.
  • If part of these terms is found unenforceable, the rest still applies. Not enforcing a term straight away does not waive it.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
